Executive Assistant

Job Title: Executive Assistant
Reports to: Chief Executive Officer
Education: Bachelor’s degree in Business Administration or related field preferred. 
Experience: Entry-Level Employee
Salary: $20 – $28/hr
Position: Non-exempt, full time 
Schedule: Full-time position, based from the office. Occasional evening and weekend commitments, as well as occasional inter-island travel
Location: Oahu, Hawaii

The Executive Assistant plays a crucial role in supporting the CEO and the entire organization in their day-to-day responsibilities and ensuring smooth operations within the organization. 

Administrative Support:

  • Answer phone calls, inquiries, and intakes, connecting callers and clients to appropriate services.
  • Manage the executive’s calendar and email, scheduling appointments, meetings, and travel arrangements.
  • Provide personalized support to the executive, anticipating their needs and proactively addressing any administrative or logistical challenges.
  • Act as a trusted liaison between the executive and internal/external stakeholders. 
  • Prepare and distribute correspondence, reports, and presentations. 
  • Ensure office and mobile clinic cleanliness. 
  • Assist with special projects, events, and other administrative tasks as needed.

Medical Billing Assistance:

  • Assist the Manager of Compliance with medical billing processes, including coding, documentation, and submission of claims.
  • Ensure accuracy and completeness of billing information and documentation to facilitate timely reimbursement.

Supply Management:

  • Order and manage office supplies, equipment, and materials in alignment with organizational budgets and needs.
  • Monitor inventory levels and anticipate future supply needs to ensure uninterrupted operations.
  • Negotiate with vendors to secure favorable pricing and terms for supply purchases.
  • Maintain accurate records of purchases, expenses, and budget allocations related to supply management.
  • Liaison with contracted financial management organization to provide receipts and ensure accurate and up-to-date bookkeeping.
  • Reconcile staff credit card purchases to ensure compliance with organizational policies and budgetary guidelines, including obtaining receipts and coding them to the proper funding source. 

Other duties as assigned by the Chief Executive Officer.

Qualifications:

  • Bachelor’s degree in Business Administration or related field preferred. 
  • Previous experience in administrative roles, particularly supporting executive-level staff.
  • Familiarity with medical billing processes and terminology is highly desirable.
  • Excellent analytical skills with the ability to interpret complex regulatory guidance and data.
  • Effective communication and interpersonal skills, with the ability to collaborate across departments and interact with diverse stakeholders.
  • Detail-oriented with a commitment to accuracy and integrity in all aspects of work.
  • Ability to adapt or modify processes in response to changing circumstances. 
  • Working knowledge of MS Excel, Word, Outlook, PowerPoint, Office 365, and MS Project in a PC environment
  • Proficient with data entry and knowledge of database maintenance (Apricot, Klara, etc.)
  • Maintain valid Driver License and State-mandated Auto Insurance.  
  • Must be willing to travel, as needed.

Clinical Services - Contractor

Job Title: Clinical Services – Contractor
Reports to: Chief Clinical Officer
Education: Midwifery or equivalent education and licensure (CNM, CM, LM, or CPM, PA, APRN), Bachelors in Nursing (preferred but not required), Masters in Public Health (preferred but not required)
Salary: $42 – $50/hr
Position: Contractor with an option to develop into a full-time position
Schedule: Contracted position with a hybrid work schedule. Must be available for scheduled in-office appointments as well as mobile clinic appointments. Occasional evening and weekend commitments, as well as frequent inter-island travel
Location: Maui, Hawaii highly preferred or ability to travel frequently to Maui, Hawaii

Reporting to Chief Clinical Officer, the Clinical Services – Contractor will be responsible for:

Patient Care, Community Events, & Outreach 

  • Provide direct patient care within the scope of license, ensuring compliance with legal, regulatory, and policy requirements.
  • Conduct mobile clinic outreach and participate in community events, offering clinical care, information, referral, and support.
  • Conduct prenatal and postnatal examinations, overall health evaluations, and STI testing and treatment for expecting parents and individuals of reproductive age.
  • Provide lactation support to expecting parents and/or collaborate with agency lactation consultants to assist with breastfeeding techniques. 
  • Educate people on birth options, family planning, self-care, and postpartum healthcare.
  • Provide education and preparation for new parents.
  • Collaborate with partner organizations to promote the midwifery model of care.
  • Provide telehealth appointments, as scheduled. 

Clinical Coordination & Professional Development

  • Facilitate case planning and coordinate care for clients to ensure comprehensive support, including referrals to additional services available via HMHB. Delegate tasks such as the delivery of social services and follow-up with the Medical Assistant and operations team.
  • Stay informed about community health trends, issues, and resources relevant to pregnant and parenting people, individuals of reproductive age, and families, while keeping abreast of developments in midwifery practice, maternal health, and reproductive healthcare through continuing education, professional development opportunities, and participation in relevant conferences and workshops.
  • Maintain required licensures and credentials for medical billing purposes.

Other Duties

  • Ensure timely updates of all patient records in the organization’s database and oversee compliance with this requirement among assigned staff members.
  • Collaborates with the operations team to facilitate scheduling, procure necessary supplies, and ensure adequate clinical coverage across all service islands.

  • Provide guidance and support for other HMHB programming, such as Piko Pals, by offering expertise, resources, and assistance as needed. 
  • Perform other duties as assigned by the Chief Clinical Officer.

Qualifications:

  • Bachelor’s degree in Nursing or other science degree
  • Midwifery or equivalent education and licensure (CNM, CM, LM,  CPM, PA or APRN) required

  • Must have a minimum of three (3) years experience with clinical skills and managerial/leadership functions 
  • In-depth knowledge of regulatory requirements governing clinical services, including but not limited to Medicaid, Medicare, and HIPPA

Chief Operating Officer

Job Title: Chief Operating Officer
Reports to: Chief Executive Officer
Education: Master’s degree in Business, Accounting, Finance, Healthcare Management, or a related field.
Experience: Executive-Level Employee
Salary Range: $100,000 – $110,000
Position: Exempt, full time
Schedule: Full-time position with a hybrid work schedule. Must be available for in-office shifts 2-3 times per week. Occasional evening and weekend commitments, as well as frequent inter-island travel.

The Chief Operating Officer (COO) oversees the human resources, financial management, program implementation, and the day-to-day program management of the organization. Responsibilities include: 

Performance Standards and Leadership:

  • Serve as the internal leader of the organization as well as the thought partner and backup to the Chief Executive Officer.
  • Collaborates with the CEO and executive team to establish and monitor the organization’s strategic plan, ensuring alignment with key performance indicators across all departments and functions.
  • Develop and implement policies, procedures, and streamlined systems to enhance operational efficiency, compliance with regulatory standards, and data-informed decision-making. Examples include optimizing client scheduling processes, establishing fund development planning and reporting protocols, enhancing financial oversight and reporting mechanisms, fostering employee engagement initiatives, and refining purchasing and travel procedures for employees.
  • Oversees performance improvement initiatives by utilizing data analysis to make informed recommendations for program expansion and enhancement. Ensures alignment of initiatives with organizational goals and priorities.
  • Serves as the lead to vet any new program ideas from team members, ensuring alignment with the organization’s mission, vision, strategic plan, and agency budget through quarterly mini-planning sessions.

Human Resources:

  • Lead human resources functions, including recruitment, training, performance management, and employee relations in collaboration with contracted payroll provider, Altres. 
  • Provide leadership and mentorship to all direct staff members, fostering a culture of accountability, innovation, and continuous improvement.
  • Promote diversity, equity, and inclusion within the organization.
  • Develop and implement policies and programs to support employee engagement, development, and retention.
  • Support the professional development and growth of staff members by overseeing and facilitating team meetings, organizing annual retreats, and designing and implementing individualized professional development plans for each staff member.

Financial & Reporting Oversight: 

  • Develop and manage the organization’s budget, ensuring alignment with strategic priorities and financial sustainability.
  • Develop and implement a comprehensive strategic fund development plan encompassing grants, fee-for-services, medical billing, donations, and innovative fundraising initiatives.
  • With support from the Manager of Community Outreach to develop and implement a comprehensive marketing and outreach plan. 
  • Collaborate with external contractors to implement an advanced accounting system that grants the organization rapid access to financial information and facilitates strategic budgeting processes.
  • Collaborate with external contractors to oversee the project management of proposal preparation, grant writing, and pitches to health plans. 
  • With support from the Manager of Compliance, maintains a schedule of all grant/contract report due dates and ensures reports are comprehensive, accurate, and submitted on time.
  • Provides timely and accurate financial and programmatic reports for the Board of Directors, agency staff, and key stakeholders. 

Operations:

  • Oversee facilities, mobile clinics, and security management
  • Oversee IT and technology
  • Oversee risk and legal/compliance, including proactive risk management, and all contracting
  • Ensures adherence to standard operating procedures across all program locations.

Qualifications:

  • Master’s degree in Business, Accounting, Finance, Healthcare Management, or a related field.
  • At least ten years of experience in leadership and management roles, demonstrating a proven track record of success in operational management, strategic planning, and organizational development. Prior experience as a director or vice president in a healthcare agency or nonprofit is highly preferred.
  • A deep understanding of business operations and processes, including budgeting, resource allocation, and performance management.
  • Must be a systems-thinker with the ability to identify challenges, analyze complex situations, and develop innovative solutions. 
  • In-depth knowledge of regulatory requirements governing health services, including but not limited to Medicaid, Medicare, and HIPAA.
  • Strong understanding of billing processes and procedures, preferably in a healthcare or social services setting.
