Schedule:
Full-time, hybrid work in office and at various medical facilities as needed. Occasional weekends and occasional evening and weekend commitments.
About the Role
Under the supervision of the Community-Based Doula Program Manager, the Coordinator of the Community-Based Doula Program is responsible for:
Doula Team & Client Coordination:
Manage client intake, ensuring timely communication and assignment of doulas.
Maintain updated schedules for doulas, tracking availability, assignments, and coverage needs.
Organize and facilitate regular check-ins with doulas to discuss caseloads, concerns, and support needs.
Ensure all client and doula documentation is completed, submitted, and stored properly.
Recruit and onboard new doulas, including gathering required paperwork, contracts etc.
Serve as a primary point of contact for doulas, answering questions and providing administrative support. Be prepared to be a backup and on call for the doula team 24/7, as needed.
Support 2-3 clients a month (2 births and 1 postpartum).
Program Data Organization & Tracking
Design, implement, and continuously improve systems for data collection, program tracking, and survey distribution using internal platforms.
Analyze service delivery data to propose operational improvements to the Program Manager and COO.
Co-develop program KPIs and ensure data integrity and timely grant reporting across funders and internal leadership.
Ensure data integrity and confidentiality in alignment with HMHB policies.
Doula Training Assistance
Support planning and logistics for doula training sessions, including scheduling, venue setup, and materials preparation, as needed and assigned by the Program Manager.
Act as primary training coordinator for trainees and contractors, independently managing pre-training communication, onboarding, and post-training evaluations.
Ensure training curriculum adherence to HMHB standards and suggest improvements based on feedback and field trends.
Essentials Program & HMHB Activities Support
Oversee scheduling and in-office facilitation of Essentials Program pickups, maintaining inventory and coordinating distribution flow..
Provide administrative and logistical support for community baby showers, public education campaigns, and family wellness events.
Provide on-the-ground support at in-person events, ensuring smooth operations.
General Administrative Support
Train and supervise volunteers, student interns, and temporary contractors contributing to the doula program.
Draft program reports, SOPs, workflows, and process guides to support quality control and internal systems management.
Support social media and outreach efforts by sharing program updates and event information.
Assist with additional tasks as needed to support the growth and success of the program and HMHB.
Other duties as assigned by Management.
Qualifications
Must be located on Oahu and available to work in-office and independently at various medical centers.
Must be available to take on clients simultaneously.
Ability to travel as needed for meetings and trainings.
Effective communication and interpersonal skills, with the ability to collaborate
across departments and interact with diverse stakeholders.
Detail-oriented with a commitment to accuracy and integrity in all aspects of work.
Ability to adapt or modify processes in response to changing circumstances.
Strong organizational and time-management skills.
Excellent communication and interpersonal skills.
Proficiency in Google Workspace (Docs, Sheets, Drive, etc.).
Ability to handle confidential information with professionalism.
Commitment to supporting pregnant and postpartum people and families.
Experience working in maternal health, public health, or community-based programs.
Understanding of doula services and perinatal support.
Event coordination or program management experience.
Familiarity with data tracking and reporting.
Holds a birth doula or HMHB CBD certification.
Comfortable with sustained periods of computer work and extensive phone/web-based communication.
Capable of lifting and carrying boxes when required.
