Bachelor’s degree in Social Work, Public Health, Human Services, or related field preferred.

At least 2 years of experience in program coordination, administrative operations, or nonprofit program support.

Salary:

$45,000-50,000 per year

Position:

Non-exempt, full-time

Schedule:

Full-time position, based in the office. Must be available for all scheduled in-office and community events. Occasional evening and weekend commitments, as well as occasional inter-island travel.

About the Role

Healthy Mothers Healthy Babies Coalition of Hawai‘i (HMHB) seeks a highly organized, creative, and community-grounded Program Coordinator to lead the day-to-day management of a statewide, trauma-informed, culturally responsive family support program. This position plays a vital role in connecting parents and families to resources, managing logistics, coordinating volunteers, and amplifying services through dynamic outreach across Hawai‘i.

The ideal candidate brings a social work mindset and deep familiarity with local family service systems, while also being highly skilled in content creation and social media management. This position directly supports the Chief Operating Officer and collaborates with leadership and staff to meet grant deliverables, maintain supply infrastructure, and lead strategic engagement initiatives.


Core Responsibilities

1. Operations, Office & Inventory Management

  • Oversee daily office operations at HMHB’s Honolulu headquarters; support coordination with Maui and Hawai‘i Island offices.

  • Manage program inventory including brochures, educational materials, diapers, wipes, formula, period supplies, and food.

  • Monitor and restock supplies monthly across HMHB offices, mobile clinics, and partner sites.

  • Coordinate shipping and delivery to birthing hospitals, partners, and satellite locations across islands.

  • Maintain tidiness of supply closets, storage areas, and accurate inventory logs.


2. Referral Coordination & Social Service Navigation

  • Triage incoming inquiries and connect families to appropriate local, state, and nonprofit programs.

  • Maintain and routinely update the statewide resource directory in coordination with staff and volunteers.

  • Cultivate and manage professional relationships with community providers across all counties to maximize resources we are able to offer to families.

  • Conduct warm handoffs to partners via phone, email, and in-person introductions to ensure seamless service transitions for families.


3. Data Collection, Reporting & Quality Assurance

  • Collect and manage client, referral, and service delivery data using Apricot, Klara and other internal platforms.

  • Contribute to monthly reports, grant deliverables, and internal dashboards.

  • Monitor client feedback, training evaluations, and analytics to inform continuous quality improvement and maintain grant deliverables.

  • Track client lifecycles and gather testimonials to support grant reporting and donor engagement.


4. Team Leadership & Volunteer Supervision

  • Supervise in-office volunteers supporting operations and client service navigation. Ensuring volunteer coverage aligns with demand across in office operations, community events, phone, text, and digital platforms.

  • Lead bimonthly volunteer check-ins and coordinate onboarding and training completion (e.g., HIPAA, BBP, Safe Sleep).


5. Program Facilitation & Family Engagement

  • Collaborate with the social and clinical teams to develop and distribute parenting and family-strengthening content across print, web, and social platforms.

  • Regularly attend community outreach events to promote HMHB programs and services offered.


6. Outreach, Website & Social Media Management

  • Lead organization-wide social media strategy and scheduling, including management of Facebook and Instagram accounts for HMHB and related programs.

  • Create and publish continuous content that reflects organizational values, programs, and resources across all platforms.

  • Design graphics, write captions, and develop short-form video content to support awareness campaigns (e.g., Safe Sleep, Mental Health Month, Breastfeeding Week).

  • Collaborate with program leads and external partners to spotlight services, events and client impact in creative, relevant ways.

  • Monitor direct messages and engagement daily; respond within 24 hours.


7. Administrative, Reporting & Executive Support

  • Assist the Executive team in managing timelines, deliverables, and internal communications across departments.

  • Assist with internal scheduling, campaign calendars, and preparation for audits or evaluations.

  • Maintain accurate records and documentation for compliance reviews and funding reports.

  • Support strategic planning and grant compliance with programmatic data and media tracking.

  • Other Duties as assigned.

Preferred Qualifications 

  • Bachelor’s degree in Social Work, Public Health, Human Services, or related field preferred.

  • At least 2 years of experience in program coordination, administrative operations, or nonprofit program support.

  • Demonstrated experience managing inventory, logistics, scheduling, and cross-team coordination.

  • Strong knowledge of Hawai‘i’s nonprofit, health, and family service ecosystem.

  • Excellent writing and verbal communication skills; comfort with client interaction and community outreach.

  • Proficient in Google Suite, Microsoft Office, Canva or Adobe tools, Zoom, and CRM platforms (e.g., Apricot, Klara).

  • Deep understanding of HIPAA compliance, trauma-informed practices, and equitable communication.


Preferred Skills

  • Experience managing organizational or program-level social media accounts.

  • Graphic design and content creation (Reels, Canva, short videos).

  • Demonstrated experience in inventory, scheduling, referrals, and office systems.

  • Familiarity with grant management or program reporting.

  • Ability to travel interisland for events, meetings, or training.
